How to Manage Users

Who this is for: Admins who need to view, edit, or remove users, change roles, or track pending invitations.

Below are the roles you can assign to each user and what each user role is able to do:

User Role

What they can do

Admin

Can view and manage all workspace features

Admin (Read-Only)

Can view all workspace features, but cannot create or manage

Group Lead

Can view reporting and create assignments for their assigned groups

Learner

Can take assigned simulations and assignments; can view performance and certificates

Trainer

Can manage and create training content and review assignments

QA

Can manage quality evaluations and scorecards


Getting Started

Log in to your Solidroad admin account and click the Settings icon in the lower-left corner. Then click the Users tab to access user management.

Managing Users

The Users section shows everyone with an active Solidroad account in your organization. From here you can change roles, view groups, search for users, and remove access.

Inviting a New User

  1. Click the Invite button in the upper-right corner of the Users tab

  2. In the pop-up, enter the user's email address and select their role (Admin, Group Lead, Trainer, QA, Learner)

  3. Click Send Invitations

The user will receive an invitation by email. You can track the status of all sent invitations in the Invitations section.

Finding a User

Use the search box to find a user by name. To narrow the list by role, use the All Roles filter dropdown — select any role to display only those users.

You can also sort the list by clicking any column header: Learner, Role, or Joined On.

Viewing Groups

The Groups column shows which group each user belongs to. This is useful for quickly confirming a user's assignment before making changes.

Changing a User's Role

  1. Find the user in the list

  2. Click the dropdown arrow in their Role column

  3. Select the new role

The change saves automatically — no confirmation step needed.

Removing a User

  1. Find the user in the list

  2. Click the ellipsis icon (…) at the far right of their row (under the Joined On column)

  3. Select Remove user

Note: Removing a user here removes them from your Solidroad workspace only. It does not delete their authentication record (SSO).


Sending, Managing, and Revoking Invitations

The Invitations section shows all invitations that have been sent but not yet acted on. Switch to this tab to check who still hasn't accepted, or to filter by status.

The three columns to know:

All (filter) — Filter the list by invitation status: All, Accepted, or Pending. Use this to quickly see who hasn't logged in yet.

Invited — Shows how many days ago the invitation was sent. Useful for identifying invitations that may need to be resent.

Status — Shows the current state of each invitation: Pending or Accepted.

  2. In the pop-up, enter the user's email address and select their role (Admin, Group Lead, Trainer, QA, Learner)

  3. Click Send Invitations

Revoking an Invitation

  1. Find the user on the invitations list

  2. Click the ellipsis icon (…) at the far right of their row (under the Status column to the right of Pending)

  3. Select Revoke invite
