How to create and manage groups

A group is a collection of users you assign training to and report on together, such as a new hire cohort or a regional team. This article covers creating a group, adding members, and giving someone lead access so they can see that group's performance.


Step 1: Create the group

  1. Go to Settings → Workspace and select the Groups tab.

  2. Click New Group in the upper-right corner.

  3. Enter a Group Name, for example "New Hires".

  4. Under Add Members, tick each person you want in the group.

  5. Select a group leader if someone should be able to see this group's performance. There are two other requirements for that to work, covered in Step 2.

  6. Optionally set an Assignment Rule so users who match a condition are added automatically in future.

  7. Click Create Group. The group appears in the list.

Step 2: Give a group lead access to the group

Three things all have to be true before a group lead can see a group. Setting only one or two of them is the most common reason a lead opens their reporting and finds nothing there.

  1. The person has the Group Lead role, set against their user in Settings → Users.

  2. They are a member of the group.

  3. They are set as a lead on that specific group.

The workspace role on is not enough on its own. Someone who holds the Group Lead role but has not been set as a lead on any group sees empty performance data and cannot switch the view to their own team, which looks like a fault but is a missing setup step.

Assigning the role to a person does not carry across to groups you add them to later either, so each group needs its lead set on the group itself.

A group can have more than one lead, so you do not have to choose a single person.

To check a group, open the Groups tab in Settings → Workspace and look at the group leads count for that group. If it shows 0, nobody has been set as a lead, whatever roles those members hold.

To add a lead to a group that already exists, open the group from the Groups tab and set the lead there.

Click on the group to view members, edit the group members, create subgroups or update its assignment rule at any time.
